BOOKING POLICY

Welcome to 360 Photo Swirl! Please review our booking and payment terms carefully before reserving your 360 Photo Booth. By submitting a booking form, you agree to the following terms and conditions.

1. Booking Requirements

  • An electronically submitted booking form and a non-refundable deposit of $150 are required to reserve your event date and time.

  • For “Party Now, Pay Later” payment plans, all recurring invoices must be paid on time.

  • For standard “Pay in Full” bookings, the remaining balance must be paid within 3 days of your booking confirmation.

Note: Combination bookings (more than one booth) require a non-refundable deposit of $150 per booth.

2. Booking Process

After submitting your booking form, you’ll receive a confirmation email and text message with your event details.
Any applicable invoice(s) will also be sent according to your selected payment option.

3. Service Areas

360 Photo Swirl services events within a 60-mile radius of Washington, D.C. (DMV area).
It is the Client’s responsibility to confirm their event location falls within this radius before booking.
Bookings made outside the service area will be cancelled, and a 2.9% + $0.30 transaction fee will be deducted from the refund.

4. Payment Options

During the booking process, you’ll select a payment option for the remaining balance of your rental.

Pay in Full

  • Remaining balance is due within 3 days of your confirmation date.

  • Payment may also be completed on the day of your event through an invoice if previously arranged.

Party Now, Pay Later (Installment Plan)

  • The first installment is due within 7 days of your booking confirmation.

  • Remaining payments follow a biweekly (14-day) schedule.

Example — 2 Payments ($125 every 2 weeks):

  • Total: $400

  • Deposit: $150

  • Remaining: $250 split into two payments of $125

    • 1st Installment: 7 days after confirmation

    • 2nd Installment: 14 days after 1st installment

Example — 4 Payments ($62.50 every 2 weeks):

  • Total: $400

  • Deposit: $150

  • Remaining: $250 split into four payments of $62.50

    • 1st Installment: 7 days after confirmation

    • Subsequent installments: every 14 days after the prior payment

Installment plans are available only through Stripe invoices.

Please note: 

  • No installment payment(s) can exceed past events date

  • Remaining balance payment is required 7 days or 48 hours prior to events date (whichever is soonest)

  • No interest or finance charges apply.

5. Late Fees

Pay in Full

  • Payment Due Date:
    The remaining balance is due within 3 days of booking confirmation.

  • Grace Period:
    A 3-day grace period is allowed after the due date. No late fees will be applied during this period.

  • Standard Late Fee:
    If payment is not received after the 3-day grace period, a late fee of $10 per week will be applied until the balance is paid. The final installment is not subject to the standard weekly late fee and instead follows the escalated late-fee rate.

  • Escalating Late Fee After 60 Days:
    If any installment remains unpaid after the fourth and final payment date, the late fee will increase to $50 for every 30 days the balance remains past due. This escalated late fee applies to each overdue invoice. A 3-day grace period still applies to the final payment; however, a $50 late fee will be added on the 4th day if the balance is not paid.

  • Maximum Late Fees:
    Total late fees will not exceed 50% of the original balance.

  • Cancellation:
    If payment and applicable late fees is not received by 7 days before the event, the booking may be canceled and any deposit retained.

  • Day-of Payment:
    Payment on the day of the event is only allowed if previously arranged in writing.

Installment Late Fees: 

  • Payment Due Date:
    Due every 2 weeks over 4 or 8 weeks depending on payment option selected

  • Grace Period:
    A 3-day grace period is allowed after the due date. No late fees will be applied during this period.

  • Standard Late Fee:
    If payment is not received after the 3-day grace period, a late fee of $10 per week will be applied until the balance is paid.

  • Escalating Late Fee After 60 Days:
    If any installment payments remains unpaid past the final due date, the late fee will increase to $50 for every 30 days past due. The 3 day grace period still applies to the final payment.

  • Maximum Late Fees:
    Total late fees will not exceed 50% of the original balance.

  • Cancellation:
    If any installment payment is not in good standing by 7 days before the event, the booking may be canceled and any deposit and any payments made will be retained with no further obligation on compan

If you decide to extend your rental during your event, each additional hour is $200, due before the 360 Photo Swirl staff departs.
Alternative arrangements must be approved in advance.

6. Booking Minimums

  • Bookings must be made at least 2 days in advance of the event.

  • Each event must be booked for a minimum of 2 hours.

7. Grace Period

A 15-minute grace period is allowed after your reserved time.
If guests are still using the booth within this period, no additional charge applies.
Beyond 15 minutes, standard extension fees apply.

8. Rescheduling, Postponement & Cancellations

  • Cancellations made at least 7 days before the event qualify for a refund of payments made after the deposit.

  • Any late fees or deposit will not be refunded.

  • To cancel or reschedule, use the link provided in your booking confirmation email.

  • Cancellations made within 6 days of the event will result in forfeiture of all payments made, including installments.

If you reschedule, previous booking details will be voided and replaced with the new confirmed event details.
Refunds apply only to payments made after the deposit if rescheduling cannot be accommodated.

9. Weather Conditions

For outdoor events, clients must monitor weather forecasts and provide adequate protection (tent, canopy, or covered area).
If inclement weather occurs and protection is not provided, 360 Photo Swirl reserves the right to pack up equipment to prevent damage.
No refund will be issued for unused time due to weather-related interruptions.

10. Force Majeure

If 360 Photo Swirl staff are unable to perform services due to illness, injury, natural disasters, acts of terrorism, or other uncontrollable circumstances, the Company will attempt to secure a replacement.
If none is available, liability is limited to a refund of all payments made.

11. Venue & Location Limitations

360 Photo Swirl complies with all venue rules and regulations.
It is the Client’s responsibility to obtain any necessary permissions or approvals.
The Company bears no liability for service limitations resulting from venue restrictions.

12. Change of Event Date or Time

  • No date or time change is guaranteed.

  • Changes must be requested at least 7 days before the original event date through the rescheduling page.

  • If approved, all prior details are voided and replaced with the new confirmed information.

  • Refunds of post-deposit payments apply only if rescheduling cannot be completed.

  • Requests made less than 7 days before the event will not be accommodated.

13. Additional Time Extensions

If the Client extends the event without prior approval, a charge of $200 per additional hour will apply.
Approved extensions during the event are billed at $150 per hour.
Invoices for time extensions are due within 48 hours after the event.
No partial-hour (30-minute) extensions are available.
